Download or print an Office document
Download, print or copy from a Word, Excel or PowerPoint file in Drime, and why these options can be missing on a share link without downloads.
You can download a Word, Excel or PowerPoint file from your Drive, and print it from the Office editor. For people who open the file through a share link, these options depend on the link's download setting.
#Download
In your Drive, select the file, then download it like any other file. To get the latest changes, make sure everyone has closed the document first: see How Office documents are saved, and their versions.
Word, Excel and PowerPoint files print from the Office editor's own print command: open the file, then use the editor's print command. The editor prepares the document for printing.
Other files, such as PDFs and images, print from the preview: see Print a file.
#When download, print and copy are off
In the Office editor, downloading, printing and copying content all follow the same right: the right to download the file.
On a share link, the owner of the file chooses whether visitors can download, with Allow download in the link settings (on by default). When it is off:
visitors can open and read the document, but not download it;
printing and copying content are off in the editor too.

To change it, see Customise a share link: downloads, custom address and branding.
#If it doesn't work
What you see | What to do |
|---|---|
No download or print on a shared document | The link's owner turned off Allow download. Ask them to turn it on, or to send you the file. |
You cannot copy text from a shared document | Copying follows the download right. Ask the link's owner to allow downloads. |
The printed or downloaded file misses recent changes | Someone still has the document open. Changes reach Drime when everyone has closed it. |
