Share files safely
Give each person only the access they need, protect your share links with a password, an expiry date or no downloads, and check regularly what you share.
Sharing is safe when each person gets only the access they need, for as long as they need it. These good practices use settings Drime already offers.
#Invite people rather than sharing a link
A share link works for anyone who has it, even if it is forwarded. For files that matter, invite the people by email instead: only they get access. See Share a link or invite people: which to choose.
#Give the lowest level that is enough
Level | What the person can do |
|---|---|
Can view | Open and preview |
Can Download | View and download |
Can edit | View, download and edit: upload into a shared folder, create folders, rename, move |
No level lets a person delete items they do not own. See Sharing permissions explained.
#Protect your links
When a link is the right choice, set it up in its Link settings:
Password protect: visitors must type a password. After 10 wrong attempts on one link within 15 minutes, they must wait. Send the password separately from the link.
Link expiration: the link stops working after the date and time you choose. Visitors then see This link has expired.
Allow download: turn it off and visitors can only preview the files, without downloading them.
Password and expiry are available from the Essentials plan. See Protect a link with a password or an expiration date.
A share link never lets visitors edit your files, except on whiteboards and Pages, which have their own edit setting.
#Check regularly what you share
In your Drive, open Shared, then Shared by me: it lists your items shared with people or with an active link. For each one, you can:
change a person's level, or Remove them;
turn off the link;
use Unshare to remove everyone, or Delete sharing links.
See Change or remove access and stop sharing.
#In a workspace: restrict access
In a team workspace, Restrict access in the Share dialog hides a file or folder, and everything inside it, from the members you choose. See Who can see my files?.
#Sensitive files: share from the Vault
Files in your Vault are encrypted on your device. When you share one, the link carries the decryption key after the # sign, a part of the address that browsers never send to Drime. Keep such a link private: anyone with the full link can open the file, unless you also protect it with a password. See Share a file from your Vault.
